Fedix and Xero: what syncs, which direction, and what to set up

Fedix connects to Xero in three places. Practice Manager imports Xero contacts and invoices and can push an invoice back after you confirm it. MyLedger brings a client's Xero chart, contacts, invoices, bank transactions and journals into the ledger and can push journals and bank transactions back. FediPilot works in the Xero you are signed in to, including Xero Tax and Xero Practice Manager.

What syncs

  • Practice Manager: Xero contacts become clients, and Xero invoices, items, accounts and tax rates are imported and kept in step in the background.
  • MyLedger: the chart of accounts, contacts, invoices, bank transactions and journals, one area at a time or all together, with status and history. Changes in Xero trigger incremental updates.
  • FediPilot: reads and writes in the real Xero you are signed in to, across Xero, Xero Tax and Xero Practice Manager, including downloading and uploading documents.

Direction

Both ways. Xero data flows into Practice Manager and MyLedger. Going the other way, a Fedix invoice, a Fedix client (as a new Xero contact), and MyLedger manual journals or bank transactions can be pushed to Xero. Every change Fedix would make in Xero is shown first and needs a person to confirm it.

What the practice sets up

  • Connect Xero from the integrations hub in Practice Manager, and check the connection status and health there.
  • In MyLedger, connect each client's Xero organisation, then map the MyLedger chart to the Xero accounts (manually, automatically or with AI; missing accounts can be created in Xero).
  • In FediPilot, sign in to Xero once; the connections page shows whether it is connected.
  • The practice needs a Xero login with access to the organisation, and to Xero Tax or Xero Practice Manager for the FediPilot steps in them.

Limits

  • Nothing is written to Xero without a person confirming the change first.
  • A daily check flags a connection that has stopped working; a disconnected Xero does not update until it is reconnected.
  • Xero sets its own limits on how often an app can call it (see the source below), which can slow a large sync.
  • Practice Manager and MyLedger do not lodge. FediPilot prepares the return in Xero Tax for the accountant's review.

Feature pages

  • Xero connection: Connect and disconnect Xero, and see connection status, budget and health, with a daily check that the connection is still working.
  • Xero contacts import: Preview and import Xero contacts as clients, and create a Xero contact from a Fedix client.
  • Xero invoice sync: Import and sync Xero invoices regularly, and push a Fedix invoice to Xero after a preview and your confirmation.
  • Confirm before writing to Xero: Every change Fedix would make in Xero is confirmed by a person in a confirmation dialog first.
  • Connect a Xero organisation: Connect a client's Xero organisation, check the connection, switch between organisations and disconnect.
  • Sync data from Xero: Bring the chart, contacts, invoices, bank transactions and journals from Xero into MyLedger, one area at a time or all at once, with status and history.
  • Push journals and transactions to Xero: Validate, then push manual journals or bank transactions to Xero, with batches, history, status refresh and the ability to revoke.
  • Xero account mapping: Map the MyLedger chart to Xero accounts manually, automatically or with AI, and create missing accounts in Xero.
  • FediPilot operates Xero: FediPilot works in the real Xero you are signed in to, across Xero, Xero Tax and Practice Manager, reading and writing for you.
