From 2 Days of Chasing Clients to 5 Minutes
How one accounting firm automated their entire quarterly BAS preparation workflow
The Challenge
Every quarter, Sarah spent two full days manually emailing 40+ clients, asking them to upload bank statements, following up on non-responses, and then manually categorising each transaction. The process was tedious, error-prone, and ate into billable hours.
The Solution
MyLedger's Automation page lets Sarah scan all clients with upcoming BAS deadlines, send bulk upload requests in one click, and let AI handle the rest. Clients upload via a secure link, AI auto-comments every transaction, and clients review and approve through an interactive share link -- all without a single phone call.
How It Works
Scan Due Clients
Sarah opens the Automation page and clicks "Scan Due Clients". The system checks the Australian tax calendar and returns a list of 12 clients who haven't submitted their Q3 bank statements yet. Clients who already uploaded are automatically filtered out.

Bulk Send Upload Requests
With one click, Sarah sends personalised upload request emails to all 12 clients. Each email contains a secure link that expires in 28 days. The email template is customisable -- Sarah uses her own casual tone for regular clients and the formal practice template for new ones.

Client Uploads Bank Statement
David from Chen Family Trust receives the email, clicks the link, and drags his ANZ CSV export into the upload area. No login required -- the secure token handles authentication. Within 60 seconds, AI parses the file, imports 364 transactions, and automatically writes comments for each one.

AI Auto-Comments Every Transaction
MyLedger's AI analyses each transaction using historical patterns. "Bunnings Warehouse" becomes "Hardware supplies - maintenance". "ATO Payment" becomes "GST payment Q2 2026". The AI learns from Sarah's previous categorisations, getting smarter with every quarter.

Client Reviews and Submits
David automatically receives a share link to review his transactions. He sees a clean grid with AI-generated comments, corrects two entries ("That's not hardware, it's office supplies"), ticks the confirmation checkbox, and hits Submit. Sarah gets notified instantly.
